This policy explains what personal data GINA ECOM NETWORK LLC collects through ginaecomnetwork.com, why we collect it, how long we keep it and which rights you have over it.
Who is responsible for your data
The controller of your personal data is GINA ECOM NETWORK LLC, a Florida limited liability company with Florida document number L26000496781, and you can contact us about privacy at [email protected].
What data we collect
- Contact form: your name, your email address, your company name if you choose to give it, the service you are interested in and your message.
- Emails: the content of any email you send to [email protected] and the contact details it contains.
- WhatsApp: if you tap our WhatsApp button and write to us, the messages and the phone number you share with us there.
- Technical data: when you visit the website, our server and our network provider record your IP address, the date and time, the page requested, your browser type and similar technical details.
We do not use analytics or advertising cookies, and we do not build profiles of our visitors.
Why we use your data and on what legal basis
- To answer your enquiries and prepare quotes, because you asked us to take these steps before entering into a contract, under Article 6(1)(b) of the EU General Data Protection Regulation (GDPR).
- To provide the services you hire from us and to manage invoices and payments, because it is necessary to perform our contract with you, under Article 6(1)(b) of the GDPR.
- To keep tax and accounting records, because the law requires it, under Article 6(1)(c) of the GDPR.
- To keep the website secure, prevent abuse and fix errors, because we have a legitimate interest in protecting our systems, under Article 6(1)(f) of the GDPR.
We do not sell your personal data, we do not use it for advertising, and we do not make decisions about you based solely on automated processing.
How long we keep it
- Contact form submissions are deleted automatically 24 months after our last exchange, unless they lead to a contract.
- Enquiry emails that do not lead to a contract are deleted once they are more than 24 months old, when we review our mailboxes at least once a year.
- Data related to a contract is kept while the contract lasts and afterwards for the period required by tax and accounting rules, which is generally up to six years.
- Server access logs are kept for up to 30 days, unless we need them for longer to investigate a specific security incident.
- Data we delete may remain in our backups for up to 12 months, until those backups are replaced.
Who processes your data for us
- Contabo GmbH, in Germany, hosts our website, its database and our email on servers located in the European Union.
- Cloudflare, Inc., in the United States, provides our DNS, network protection and content delivery, so your connection to our website passes through its network.
- The email software we use to read our mailboxes, such as Microsoft Outlook, may keep a synchronised copy of messages on its provider's servers, which may be outside the European Union.
- If you choose to contact us on WhatsApp, WhatsApp, a Meta service, processes your messages under its own privacy policy as an independent controller.
- Our accountants and legal advisers may access contract and invoicing data when they need it to keep our books, file our tax returns or advise us, and they are bound by a duty of confidentiality.
We do not share your data with anyone else unless the law requires it.
International transfers
We are a company registered in the United States, and some of our providers, such as Cloudflare, may process data outside the European Economic Area, in which case we rely on the safeguards the law recognises, such as the EU-US Data Privacy Framework or the standard contractual clauses approved by the European Commission.
Cookies
This website does not set its own cookies or use cookies for analytics or advertising, so we do not ask for cookie consent.
Cloudflare may set strictly necessary security cookies, for example to tell people apart from automated bots, and these cookies do not track you across other websites.
Your rights
Depending on where you live, and in any case if you are in the European Union, you have the right to:
- Access the personal data we hold about you.
- Correct data that is inaccurate or incomplete.
- Ask us to delete your data.
- Object to certain uses of your data or ask us to restrict them.
- Receive your data in a portable format.
To exercise any of these rights, write to [email protected] and we will answer within one month, although we may first ask you to confirm your identity.
If you think we have not handled your data properly, you can complain to the data protection authority of the country where you live or work.
Children
Our services are aimed at businesses and adults, and we do not knowingly collect data from anyone under 16.
Security
We protect your data with encrypted connections, restricted access and regular backups, although no system connected to the internet can be completely secure.
Changes to this policy
We may update this policy when our services or the law change, and the date of the latest version will always appear at the top of this page.
